Check your site details and records

Site details don't break anything on their own. Together it's the difference between a site someone can pick up and understand, and one where the record has quietly drifted away from reality.

Are your site details current?

Open Settings and check the basics:

  • Site location — correct, and still matching where the works actually are if the site has expanded or shifted.

  • Site hours — matching how the site runs now. Approved out-of-hours works, a change of shift pattern or a seasonal adjustment all need reflecting here, and they affect how your data reads against your rules.

  • Shipping address and primary contact — is the address and person listed up to date?

Is your user list current?

Open Settings > Users.

  • Remove anyone who's left the project. Access to site data shouldn't outlast someone's involvement.

  • Add anyone who needs it. New starters, an incoming environmental advisor, a consultant who's been asking you to email them screenshots.

⚠️ Removing a user does not stop their notifications. Recipients are managed separately, so anyone who's left needs removing from both lists: Check your rules and notifications.

Are your daily notes up to date?

Daily notes are what turn a graph into an explanation. They're tagged to a monitoring point and can be included in PDF reports, so the context travels with the numbers.

Worth a note whenever something happens that would otherwise look unexplained:

  • RDOs and shutdowns — a quiet day nobody can account for later

  • Deliveries, demolition, piling, concrete pours — the works behind a spike

  • Device swaps, moves and new deployments — serial numbers and dates

  • Site visits and anything you fixed — a cleared panel, a straightened stand

  • Weather events — a storm, a hot windy week

Catching up on a month of notes is hard work, so the monthly check is really a prompt: is anyone writing these at all? If the last note is from six weeks ago, that's the thing to fix.

Where are your devices up to on calibration?

Each device shows a calibration countdown in its Details tab.

SiteHive manages calibration for you — we track where each device sits and send a freshly calibrated replacement before it runs out, so this is a glance rather than a task. It's worth knowing what's coming, especially if a swap would be awkward during a particular stage of works. If the timing doesn't suit, tell your Regional Success Manager and we'll work around it.

If your project needs certificates, you can get them at any time.
